Microsoft Office Tips


1.     Use themes and templates to keep documents, spreadsheets, slides, and posters consistently powerful. Most programs offer built-in templates (no downloading involved), but if you are interested you can go online to find a template for almost any type of document you want to create.
It may take time to search for, but using a template will help you to save time creating clean and clear documents. To find templates in Microsoft Office programs, click File > New.

2.     Keyboard shortcuts are a great way to save time while editing and creating documents. Here are some useful ones, and links to a lot more!
      Display Help F1
      Undo an action CTRL+Z
      Create a new folder CTRL+SHIFT+N
      Switch between open programs Alt+Tab
      Exit full screen videos and presentations Esc
      Select multiple items, like folders, photos, and emails Hold CTRL while you select the objects with the mouse.

3.     Right clicking is another great way to access formatting and editing options quickly. Use the mouse to select an object (like an image, text, or a folder) >point to the object(s) > click once on the right mouse button to see a list of actions you can do with the selected object(s).

4.     File Shortcuts are links to files or programs and are represented by icons with an arrow in the lower-left corner.
      To create a shortcut, right-click the file > then click Create Shortcut.

You can drag the shortcut to other locations (like the desktop, or another
folder on the computer).
5.     Jump Lists let you quickly get to the items you use every day. You can use a Jump List to open items, and you can even pin favorites to a Jump List. To see a Jump List for a particular program, just right-click the program button on the taskbar.


Layout & Formatting Tips


1.     Know what your document is doing. Viewing formatting marks helps you quickly see what's going on in your document. Formatting marks are present in your document whether or not you can see them.
1.     To show or hide formatting marks >  click on the Home tab > in the Paragraph group.
2.     Click the paragraph icon (or press CTRL+SHIFT+8).


2.     Format painter allows you to copy the formatting from one piece of text to another. You can highlight the text that is formatted the way you like > click the paintbrush icon > then using the paint brush highlight the text you wish to have the same format.

3.     Remove formatting can be very helpful when pasting text into Word from other sources (like another document, an email or the internet).
To remove the formatting in Microsoft Office from any text > highlight the text and then do one of the following:
      On the Home tab, in the Font group, click the Clear Format button (looks like an eraser).
      Press the shortcut key Ctrl + Spacebar.
This will set the text to the default font, remove the formatting, and even remove links.


4.     Tables are a great way to manage the content of your documents and display information clearly.
      To insert a Quick Table > Select the Insert tab > Click the Table button > Select Quick Table from the drop-down menu > Click the table style you want to insert.
Your pre-formatted table is now in your document!


5.     Styles make it easy to organize your document, make your document easier to read and provide ways to make your document more useful (for example by inserting a table of contents).
      To use the built-in styles > Highlight the text you want to format > On the Home tab, in the Styles gallery, click on any of the options to apply the style to the highlighted text.
